Refund & Cancellation Policy
How seat refunds, deposits, rescheduling, and cancellations work for our training.
1. Overview
This Refund & Cancellation Policy explains how seat purchases, deposits, payments, cancellations, rescheduling, and refunds work for training purchased from HRUS Instructors LLC. It applies alongside our Terms of Service and any signed Training Agreement. Because we deliver live, scheduled training rather than physical goods, refunds depend on the type of program and how far in advance you cancel.
We want every client and participant to have a great experience. If something isn’t right, contact us first at contact@hrusinstructors.com — most issues are resolved quickly. “Business days” means Monday through Friday, excluding U.S. federal holidays.
2. Open-enrollment seats (paid by card)
For individual seats purchased online in a scheduled public course:
- Full refund if you cancel at least five (5) business days before the session start date.
- Cancellations made fewer than five (5) business days before the start date are eligible for a 50% refund or a full credit toward a future scheduled course, valid for twelve (12) months.
- Substitutions are welcome at no charge: you may send a different attendee in your place at any time before the session by emailing us the new participant’s details.
- No-shows — failing to attend without notice — are non-refundable and not eligible for credit.
- If a recording of the session is available, registered participants who cannot attend may request access in lieu of a refund.
If we cancel or reschedule a public course, you may choose a full refund or a transfer to the next available date at no charge.
3. Team workshops
For single-session team workshops booked for your organization:
- A deposit (typically 50% of the workshop fee) reserves your date and instructor; the balance is due as stated in your Training Agreement.
- Rescheduling is free if requested at least ten (10) business days before the session; one reschedule is included. Requests inside ten business days may incur a rescheduling fee of up to 25% to cover committed instructor time.
- Cancellation ten (10) or more business days before the session: the deposit is refundable less any non-cancellable third-party costs already incurred. Cancellation fewer than ten (10) business days before the session: the deposit is non-refundable, and any balance already paid is refunded less work performed and committed costs.
4. Custom & multi-session programs
For custom curricula, cohorts, and multi-session or enterprise programs scoped in a Training Agreement and invoiced on net terms:
- A deposit is required to reserve capacity and begin curriculum design or scheduling. Deposits are non-refundable once design or scheduling work has commenced, except for amounts exceeding work performed.
- Fees are billed by milestone or session block. Delivered sessions and accepted, completed milestones (including custom curriculum delivered to you) are non-refundable.
- Rescheduling of individual sessions is accommodated where reasonably possible with at least ten (10) business days’ notice; short-notice changes may incur fees for committed instructor time and venue or travel costs.
- Either party may terminate as set out in the Training Agreement. On termination, you pay for Services performed and non-cancellable third-party costs (such as venue, travel, or licensed assessment fees) incurred up to the termination date; we provide the materials for sessions already paid for.
5. How to request a refund, reschedule, or cancel
Email contact@hrusinstructors.com with your name and organization, the course or program name and date (or invoice number), and the reason for your request. We will acknowledge within two business days. Refunds and credits are calculated by reference to the timing windows in this policy.
6. Refund processing
We approve or decline refund requests within ten (10) business days of receiving the information needed to evaluate them. Once approved, the refund is issued to the original payment method: card refunds are processed through Stripe and typically appear within 5–10 business days, depending on your bank or card issuer. Refunds of invoiced amounts are issued by the original payment channel. Approved course credits are applied to your account and may be used toward any scheduled program within twelve (12) months.
7. Disputes and chargebacks
If you believe a charge is incorrect, please contact us before initiating a chargeback so we can investigate and make it right. Filing a chargeback for training delivered, or for a seat or deposit cancelled outside the windows above, may be treated as a breach of our Terms. We keep clear records (Training Agreements, registrations, attendance, and delivered materials) and will respond to payment-processor disputes with that documentation.
